Terms & Conditions


1. General Information


1.1. Planet Warriors’ mission is to encourage sustainable shopping. It is meant to provide a platform for local, small sustainable businesses to showcase their products, in turn offering shoppers the opportunity to shop with sustainability in mind. All that in a family-focused environment, with activity for kids and grown-ups.


1.2. As a business, we commit to support local sustainability-focused charities providing them with a fund-raising opportunity – events’ guests are encouraged to donate to a chosen charity as their voluntary entry fee.


2. Stall Bookings & Requirements


Pre-loved Stalls


2.1. Pre-loved stalls bookings are received in advance and allocated strictly on a ‘first come, first served’ basis and are subject to availability. All stall bookings should be made via the secure online booking system on the website. The booking is not executed until payment has been received and stall fees are non-refundable. Cash transactions on the day of the event will NOT be accepted. Booking will be confirmed via email. If you have not received an email within seven days, please contact us directly at hello@planet-warriors.co.uk to confirm your booking.


2.2. Booking/Service Fee: Planet Warriors have partnered with Wix to handle all of our customers online payments. This removes any concern regarding the processing of highly sensitive data. Payment details will be kept confidential.


2.3. Pre-loved stalls hiring fees are £20 and include:

  • One table - the size of the table may vary depending on the venue however an example of an average size table is approximately 1.8m x 0.7m (6’ x 2’).

  • An additional half a metre (approximately) of floor space at one end of your table. This space can be used for a clothes’ hanging rail (Please not a round or over-sized one). A single buggy/pushchair or highchair could also fit in this space.

  • An additional half a metre (approximately) of floor space at the front of your table for larger items.

  • Where appropriate; one or two chairs as required. We encourage that only one person attends the event per stallholder. If you are likely to require more, please discuss it directly at hello@planet-warriors.co.uk.

  • Paper bags – as we promote sustainability, it is important to us that we minimise plastic use. We will offer pre-loved stallholders paper bags.

  • Table cloth – We will provide table cloths to ensure a consistent look throughout the market.


2.4. We require:

  • Pre-loved goods must be of good quality, clean and relating to maternity, babies, toddlers, and children up to the age of 10 years.

  • All toys and baby items that require batteries must be offered for sale in full working order with batteries installed.

  • Items or services unrelated to maternity, babies or young children, or items which are deemed to be broken, in poor condition, dangerous and in breach of Health and Safety legislation or trading standards advice should not be displayed and/or sold. Planet Warriors reserve the right to request that items be removed from sale if it is felt they do not adhere to the terms and conditions and Planet Warriors’ standards and guidelines.


Business Stalls


2.5. Planet Warriors is about sustainable shopping and hence products sold at our markets must be compliant and have a “sustainability theme”. We will ensure this to be the case as we grant stall bookings through the application process, but we require that stallholders observe the following:

  • Waste: please make sure you aim to reduce your waste during the event to a minimal. And please take it with you and dispose of it appropriately, observing your local area recycling guidance.

  • Any packaging, bags and etc are to be made of recyclable materials, preferably compostable paper. Any single-plastic use is forbidden.

  • Please consider the environment when producing any marketing material, opting for recycled or compostable paper.


2.6. Business stalls applications are received in advance and accepted strictly at Planet Warriors discretion. The booking is not executed until confirmed by email or other means and only confirmed once payment has been received. Stall fees are non-refundable.


2.7. Planet Warriors reserves the right to refuse business stall applications at its own discretion, on the basis that the product is unsuitable for the market or for any other reason as it sees fit.


2.8. Planet Warriors will review each stall application separately and will seek to maintain relatively product type exclusivity to ensure low levels of competition for stallholders.


2.9. Booking/Service Fee: Planet Warriors have partnered with Wix to handle all of our customers online payments. This removes any concern regarding the processing of highly sensitive data. Payment details will be kept confidential.


2.10. Business Regular Stalls hiring fees are:

  • £30 up to 3 month prior to the event

  • £35 between 3 months and up to 1 months prior to the event

  • £40 from 1 month prior to the event and include:

  • One table - the size of the table may vary depending on the venue however an example of an average size table is approximately 1.8m x 0.7m (6’ x 2’).

  • An additional half a metre (approximately) of floor space at one end of your table.

  • An additional half a metre (approximately) of floor space at the front of your table for larger items.

  • Where appropriate; one or two chairs as required. We encourage that only one person attends the event per stallholder. If you are likely to require more, please discuss it directly at hello@planet-warriors.co.uk.

  • Broad social media and physical marketing.

  • Business logo included in event online Directory.


2.11. Business Small Stalls hiring fees are £20 and include:

  • One table - approximately 0.75m x 0.75m (2’ x 2’).

  • An additional half a metre (approximately) of floor space at one end of your table.

  • An additional half a metre (approximately) of floor space at the front of your table for larger items.

  • Where appropriate; one as required. We encourage that only one person attends the event per stallholder. If you are likely to require more, please discuss it directly at hello@planet-warriors.co.uk.

  • Broad social media and physical marketing.

  • Brand and event assets for social media promotion.

  • Business logo included in event online Directory.

  • Parking at the venue, subject to availability. Stallholders should be conscious that parking should be prioritised to visitors - Planet Warriors encourages stallholders to park elsewhere once they’ve unloaded.


2.12. We require that stallholders:

  • Provide a copy of their certificate of Public Liability Insurance (for at least £2million cover) up to 2 weeks prior to the event.

  • Bring their own tablecloth to cover the table provided.

  • Adhere and observe guidance shared in clauses 6 below.

  • Be aware of customer or personal choices to wear facemasks or provide hand sanitiser.

  • Keep themselves aware of how the event will run including any calls, WhatsApp group discussions or other communication provided by Planet Warriors.

  • Promote the event on their own social media and network using materials provided.

  • Keep Planet Warriors aware of any changes in the products planned to be sold.

  • Be aware that each market is curated to avoid mission drift, and application does not guarantee a place at every market – this is to ensure choice and variety.


All business stallholders MUST provide a copy of their certificate of Public Liability Insurance (for at least £2million cover) to Planet Warriors hello@planet-warriors.co.uk up to 2 weeks prior to the market day at the latest. We reserve the right to cancel your booking without a refund if this is not provided in time.


3. Refusal of Booking


Planet Warriors reserve the right to reject bookings, on the grounds that the type of business or craft stall being booked is unsuitable for the market or due to the previous conduct by a stallholder or for any other reason given by Planet Warriors.


4. Refunds


Planet Warriors will do its utmost to advertise the event and to attract customers and visitors. However, Planet Warriors will not be held responsible for a possible lack of sales or for a low number of attendees and therefore it will not provide any refunds in the instance that the stallholder is not happy with the amount of sales achieved in any particular event.


5. Market Cancellation & Refunds


Should a Planet Warriors market be cancelled, stallholders will receive a 100% refund of the booking fee paid. However, should a Planet Warriors market be cancelled due to a Force Majeure event as defined below, stallholders will not be issued with a refund but will be able to transfer their booking to a future event at no extra cost.


6. Event Logistics


6.1. Setting-up: Our doors open to stallholders approximately 1 hour before the doors open to the visitors This should allow plenty of time to set up your stall in a presentable manner. We suggest that you allow at least 3 minutes for the preparation of your stall, so that you are fully geared up for the doors opening. Late arrivals will NOT be admitted within 15 minutes of the market opening time as this does not allow enough time to set up the stall in a safe and well-turned-out manner.


6.2. Packing-up: Stallholders must adhere to market opening hours and should pack up only when the organisers declare the venue closed and due to health and safety regulations must not leave the event early. Once the market has closed, stallholders and their belongings must vacate the building within 45 minutes.


6.3. Removal of Waste and Unsold Goods: Stallholders must remove all waste, litter and unsold items from the venue when leaving the event. Planet Warriors reserve the right to dispose of any items left behind following an event. Please leave your stall area the way you found it.


6.4. Respecting the Venue: Stallholders will be financially accountable for any damages they cause to the market venue. It is NOT allowed to hang, stick, tape, glue, nail, screw or in any other way affix items to any wall, door, floor, curtain or any other part of the building during the event. Do NOT drag large items across the floors of the venue, if you cannot pick up an item by yourself, request help from one of the Planet Warriors support staff.


6.5. Health and Safety: Planet Warriors are committed to providing, maintaining and promoting the highest standards of Health, Safety and Welfare at each event. Under Health & Safety legislation, Stallholders are responsible for the safety of their table/stall, i.e. setting items up in a safe & secure manner to avoid accidents and the stallholder agrees to indemnify Planet Warriors against all claims arising out of negligence on the part of the stallholder and/or their helpers. Stallholders are responsible for all activities that take place on their stall throughout the event and any actions that could affect others as a result of their activity. Stallholders who do not adhere to these guidelines will be asked to leave the event. If you choose to bring along children at the event, it is the stallholder’s responsibility to ensure their safety and well-being is met at all times during the event. Although, if possible during the time of the event, stallholders should try and find someone to look after their children.


  • Stallholders must comply with the regulations contained in the Health and Safety Checklist produced by the Royal Borough of Kingston.

  • Stallholders must ensure that their activities do not endanger the safety or security of any person at the Market.

  • Stallholders selling hot food and hot beverages must have a fully operational fire extinguisher clearly displayed on their stall.

  • Stallholders must report to the Market Manager any incident or accident to any person or property that involves loss or could be expected to give rise to a claim.

  • Registered Stallholders and their Stall Operators must not possess, sell, or operate any hazardous or dangerous goods at the market.

  • Within the market area, smoking is not permitted at any stall site.


7. Other


7.1. Transactions: All items are sold as seen. Planet Warriors accept no responsibility for any transaction entered into at the market venue.


7.2. Disagreements: Planet Warriors reserve the right to decide or arbitrate any dispute arising out of or in the course of the conduct of the market.


7.3. Refusal of Admission: Planet Warriors reserve the right to refuse admission to the market to any person without giving any reason for the same and to eject or cause to be ejected any person and/or his/her goods and chattels without giving any reason for the same.


7.4. Security: Stallholders are responsible for their own stall security and monies. No responsibility is taken by the organisers for theft, loss or damage to items. Planet Warriors accept no liability for the theft, loss or damage of any personal items for sale from the stallholder’s stalls or other items within the boundaries of the event. All persons who enter the market area do so at their own risk.


8. Liability


The stallholder agrees to indemnify Planet Warriors and event organisers against all claims for damages or injury to the property or person of any persons in respect of any claim by any such person arising out negligence on the part of the stallholders and of any faulty or dangerous products sold by the stallholder or his agents or servants. Planet Warriors and event organisers accept no responsibility for sellers' or buyers' property on the day of the event and accept no liability for loss or damage however caused. All persons who enter events do so at their own risk.


9. Illegal Activity


Planet Warriors shall not be held responsible for the non-compliance by a stallholder with any Law, By-law, Regulation, Act or Statute.


10. Force Majeure


10.1. 'Force Majeure' means any circumstances which are beyond the control of Planet Warriors and which are reasonably likely to affect the successful delivery of an event. Including, but not limited to any of the following:

  • Acts of God, flood, earthquake, windstorm or other natural disaster or adverse weather conditions;

  • any damage or other emergency relating to the Venue, or collapse of building structures or failure of machinery;

  • closure of roads or cancellation of any local travel services to the event;

  • interruption or failure of utility service, including but not limited to electric power, gas or water;

  • fire, explosion or accident;

  • epidemic or pandemic;

  • any law or government order, rule, regulation or direction, or any action taken by the government or public authority;

  • any labour dispute, including but not limited to strikes, industrial action or lockouts.


10.2. Planet Warriors will use reasonable endeavours to give you reasonable advance notice if we believe a Force Majeure event may affect the event or require its cancellation or postponement. In such circumstances, we will co-operate with you to seek to find a suitable alternative date or location for the event.


10.3. If Planet Warriors are required to change, cancel or postpone the event as a result of a Force Majeure event, we shall use all reasonable endeavours to seek alternative dates or a suitable alternative venue to hold the event.


10.4. If Planet Warriors is prevented, hindered or delayed from performing any of its obligations under the Contract by a Force Majeure event, we shall not be liable for any such failure or delay in seeking alternative dates or locating suitable venues. You shall remain liable for the booking fees paid, stallholders/advertisers will not be issued with a refund but will be able to transfer their booking to a future event at no extra cost.


11. Changes to Terms and Conditions


11.1. Planet Warriors reserve the right to change its Terms & Conditions at any time s it sees fit. Any bookings agreed under previous versions will be honoured.
